Drinkware Sample Request Checklist for B2B Buyers

Drinkware Sample Request Checklist for B2B Buyers

Before requesting a drinkware sample for a bulk project, decide what the sample needs to help you confirm. A clear request gives the supplier a specific configuration to quote and gives your team a consistent basis for review.

Identify the sample you need

Tell the supplier whether you are asking for an existing model, a customized sample or a pre-production sample. List the product reference, capacity, lid, finish, color and any other options that define the version you want to assess. If the sample is not identical to the intended order configuration, ask the supplier to record the differences.

Confirm the full sample and shipping terms

Ask for written confirmation of the sample price, any customization or setup charges, freight, destination, payment terms and any credit that may apply to a later bulk order. Confirm whether duties or taxes are included or billed separately. Sample and shipping terms vary by supplier and project, so do not assume that a sample is free or that a quoted amount covers delivery.

Match the sample to the project brief

Include the material and construction you requested, the lid and seal components, the finish and logo method, packaging requirements and the number of samples. If documentation is part of your decision, name the destination market and intended use, then ask which documents apply to the exact model and configuration.

Agree on what approval covers

Before review, write down the items your team will check and how the approved version will be identified. This can include dimensions, color, logo placement, lid fit, packaging or tests specified for the project. Keep notes and sample photos with the product reference so later changes can be compared with the same version.

Prepare a clear request

  • Product model or reference and desired configuration
  • Sample quantity and whether custom branding is required
  • Destination country and delivery deadline
  • Sample, customization and shipping charges, in writing
  • What your team will review and how approval will be recorded

Once a sample arrives, use a consistent review method. See How to Compare Drinkware Samples Before a Bulk Order for a review checklist. To prepare the wider product brief, use the drinkware RFQ checklist.
